Who this notice covers
This notice covers the Ahir Sena Rajkot Volunteer App (Android package com.ahirsenarajkot.volunteer). Ahir Sena Rajkot is a brand of Swastik Enterprise and controls the event registration data. Sphere Rays Technolabs Pvt Ltd publishes the app on Google Play for Ahir Sena Rajkot. The app is for authorised event staff. It is not a public registration app. This notice also covers the people whose details staff submit for Ahir Garba Mahotsav 2026.
Information we collect
For staff accounts, we use a name, login details, assigned area or ward, and access records. For a family registration, staff submit a WhatsApp number, a full 12-digit Aadhaar number, each attendee’s name, age, gender, and face photo, and the assigned location. We keep the staff member and time associated with each submission. The app may temporarily keep an encrypted draft and photos on the staff member’s device until a submission finishes or is cleared.
Staff members under 13
Authorised staff may be 9–12 years old. An administrator creates an account for a staff member under 13 only after documented parent or guardian authorisation. We use that staff member’s account information, broad ward assignment, and access records to provide the same restricted event duties described here. A parent or guardian can use the contact details below to ask about the child’s account or request its removal.
Why Aadhaar and photos are required
The event organiser requires the Aadhaar number under its event permit conditions. People provide their Aadhaar number to event staff for registration. We use registration details to manage the event, check entries, prevent duplicate work, and respond to event or legal inspections. We use each photo to identify the registered attendee. Staff should direct questions about the required information to the organiser.
Who can see the information
Access is limited to authorised event staff according to their assigned role. The full Aadhaar number is encrypted on the server and is not shown in normal registration views; those views show only its last four digits. The app sends data to our server over HTTPS. Our hosting provider processes data to operate the service. We provide information to a competent authority only in response to a specific request required by the event permit or law. We do not sell registration data or use it for advertising.
Camera and device access
The app asks for camera access when staff take an attendee photo. It does not need microphone, location, contacts, SMS, or general file access. It uses network access to sign staff in and send and retrieve registrations. It does not use advertising or analytics SDKs.
Retention and deletion
We delete full Aadhaar numbers, their last four digits, and attendee photos 30 days after the event ends. Ahir Garba Mahotsav 2026 ends on 19 October 2026, so the scheduled deletion begins on 19 November 2026 (India time). We also remove registration audit entries that could contain these values. Basic registration details may remain where needed for event administration and records. Staff accounts remain while access is authorised and are removed or disabled by an administrator when no longer needed. Device drafts are cleared after successful submission or sign out; an unfinished draft can be cleared by signing out or removing the app.
Request access or deletion
To ask about your data, request deletion, or remove a staff account, call +91 96248 44444. Give your registration number if you have it. Do not send a full Aadhaar number over the phone unless the organiser asks for it through a secure process. We will verify the request before changing a registration. If a permit or legal duty requires temporary retention, we will explain that when we respond.
